How To Quickly Onboard New Employees Using GSuite and Salesforce

Onboarding is part of every company's efforts to successfully integrate its new employees into their organization.

For IT onboarding is crucial to bring employees up to speed so they understand their responsibilities, obligations, and role in the company.

An IT onboarding process aims to achieve a number of things: introduce new recruits with the hardware and/or software they’ll be using; set up company accounts; learn and follow work guidelines.

Usually within the first day it's established which software, tools (email, messaging and productivity apps), and access rights new hires require.

Depending on each company's internal policy, onboarding can take anywhere from several minutes to a few hours. Cloudpipes understands that for many time is luxury that they don't have, and that's why in this blogpost we’re going to show you an easy way to automate onboarding of new employees.

Onboarding New Employees With Salesforce and GSuite
To begin, log into Cloudpipes, or sign up for our 14-days free Trial.

In order to construct our pipeline, we'll need to connect GSuite and Salesforce to Cloudpipes. Once done, click on Create a Pipeline.

Our pipeline will trigger each time a new user is being created in Google Sheets, and from there the data will be exported to GSuite and Salesforce.

Once a new row has been made, Cloudpipes will then create a new user in GSuite, using the information captured from the new row in Google Sheets.

Once we have the new user created, they will be automatically added in a designated GSuite group corresponding to their company role. If needed we can also assign roles to new group members.

Next, we'll set up a user folder within the work area of our Google Drive.

After the G Suite account has been configured, a welcome email is being send with the necessary creadentials, and further instructions on how to access it.

Finally, after the email is sent, a new user account is created in Salesforce with any information that might be required. If course in this case we can use any other CRM tool such as SugarCRM or Zoho.

This is just one example of how Cloudpipes can automate user provisioning across multiple instances, saving time and resources, and increasing accuracy.
